Heirloom Prints is a business name of The Munna Co Pty Ltd (ABN 14 660 483 581). We are committed to protecting your privacy and handling your personal information responsibly. This Privacy Policy explains what we collect, why, and how (in plain English).

Our obligations are governed by the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By placing an order through any authorised Heirloom Prints storefront, you agree to the practices described in this policy.

1. What Information We Collect

1.1 Information You Provide

When you place an order, we collect the information necessary to fulfil it:

• Your name and delivery address
• Your email address
• Your phone number, where provided
• The photograph you upload for printing
• Your order details: print size, frame selection, quantity, and any special instructions
• Payment information, which is collected and processed securely by our payment processor. We do not store your card details.

1.2 Information Collected Automatically

Standard web infrastructure may collect certain technical information when you interact with an Heirloom Prints storefront, including your browser type, device information, and IP address. We also record which photographer's storefront your order came through, in order to correctly attribute the sale.

We set a first-party analytics cookie that holds a randomly generated session identifier. It lets us count how visitors arrive at heirloomprints.com.au and how many go on to place an order. The cookie holds no name, email address, or payment detail, and we do not sell or share this measurement data. If you answer the optional “where did you find us” question at checkout, your answer is stored with your order and with that measurement record; the cookie lasts 180 days, and the measurement records are deleted after 180 days.

2. How We Use Your Information

We use your personal information only for the following purposes:

• To produce and fulfil your order, including passing your photograph and specifications to our fulfilment partner for production
• To communicate with you about your order: confirmation, production updates, and dispatch notifications
• To deliver your order, sharing your name and address with our freight provider
• To process your payment
• To calculate and pay commission to the photographer through whose storefront you ordered
• To respond to any enquiries, quality concerns, or warranty claims you raise
• To comply with our legal obligations under Australian law

We use your information for marketing purposes only where you have given us your explicit consent. See Section 4.

3. Your Photographs

The photograph you upload is used solely to produce your print. It is stored securely and retained for 90 days after your order is completed, after which it is deleted.

We do not use your photograph for advertising, product listings, or any purpose other than fulfilling your order, unless you have separately and explicitly opted in to allow us to share behind-the-scenes production content. See Section 4.

4. Optional Consents: Your Choice

At checkout, you will be offered two optional consents. Neither affects your ability to place an order. Both can be withdrawn at any time by contacting us at info@heirloomprints.com.au.

4.1 Behind-the-Scenes Content

As part of our process, we document the making of your print, from production through to packaging. If you opt in, we may share short behind-the-scenes content on our social media channels (such as Instagram) that shows your print being made. This content may also tag the photographer through whose storefront you ordered.

This consent covers production and packaging footage only. We will not share your photograph as a standalone image or use it as a product demonstration without separate permission.

This is entirely optional. If you do not opt in, your order is processed in exactly the same way. We simply will not share any content related to your print.

4.2 Marketing Communications

If you opt in, we may send you occasional emails about new Heirloom Prints releases, limited edition frames, and print inspiration. We send these infrequently and with care: you will not hear from us more than you'd want to.

You can unsubscribe at any time using the link in any email we send, or by contacting info@heirloomprints.com.au.

Opting in to marketing is entirely optional and has no effect on your order.

5. How We Store Your Information

We take reasonable steps to protect your personal information from misuse, loss, and unauthorised access. This includes encrypted data transmission, restricted internal access to customer data, and secure payment processing through a PCI-DSS compliant payment provider.

Order records are retained for a minimum of 7 years in accordance with Australian taxation law. Uploaded photographs are deleted 90 days after order completion.

We use reputable third-party service providers for cloud infrastructure, payment processing, email delivery, and fulfilment. These providers receive only the information necessary for their specific function and are required to handle it appropriately.

6. Disclosure of Your Information

We do not sell your personal information. We do not share it with advertisers. We disclose it only in the following circumstances:

• To our service providers, strictly for the purpose of fulfilling your order and operating our business, for example passing your delivery address to a freight provider, or your photograph and specifications to our print fulfilment partner
• To the photographer through whose storefront you ordered, for commission calculation purposes only: they receive confirmation that a sale occurred, not your personal delivery details or photograph
• Where required or authorised by Australian law

7. Your Rights

Under the Australian Privacy Principles, you have the right to:

• Request access to the personal information we hold about you
• Request correction of information that is inaccurate or out of date
• Withdraw any consent you have given (including marketing opt-ins) at any time
• Make a privacy complaint if you believe we have not handled your information appropriately

To exercise any of these rights, contact us at info@heirloomprints.com.au. We will respond within a reasonable time and in accordance with our obligations under the Privacy Act 1988.

If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.

8. Changes to This Policy

We may update this Privacy Policy from time to time. The current version will always be available at heirloomprints.com.au/privacy. Material changes will be communicated via the storefront or by email to customers with active orders.
